The Opportunity
The appointee will undertake general secretarial and clerical duties in support of the Heads of Sections and other professional staff -provide a wide range of administrative and secretarial support to Library Management, heads of sections/units/staff groups inclusive of the management of the offices of the University Librarian and the Deputy University Librarian.
Clerical Assistant responsibilities include but are not restricted to:
- typing of documents – meeting papers/memos/ brochures/list/bibliographies /invitations etc
- filing and maintenance of print and e-files according to the official library filing system
- answering phones /taking and conveying messages
- mail management - print and courier
- assisting with library events – meetings, teas, training, conferences, workshops etc
- communication with University sections/campuses as directed by supervisors/management
- receiving visitors
- referrals of queries to appropriate persons/sections
- presentation of work area
- monitoring of stationery and equipment for work purposes
- Other secretarial/clerical duties as assigned by SLAs/Librarians and HoS
The Person we Seek
To be considered for this position, applicants must have:
- Certificate in Secretarial Studies with Preference given to Diploma in Secretarial Studies or equivalent qualification
- demonstrated proficiency in written and spoken English;
- knowledge of administrative procedures and processes;
- demonstrated ability to write and provide high quality memorandum and reports under tight deadlines;
- excellent numerical and organisational skills;
- self-motivation and be able to work under pressure without routine supervision;
- excellent interpersonal and team playing skills with the ability to work with and establish rapport with staff at all levels in a multicultural environment.
- Customer service Skills
- Knowledge of Microsoft Office (Word, Excel, PowerPoint, Publisher)
- IT skills – internet, email
Preference will be given to:
- Diploma in Secretarial Studies or equivalent qualification
- Work in a Library or Tertiary education environment

The position is available for a term of 3 years and may be renewed by mutual agreement.
Salary Range
- Grade 2 FJ $12,093.13 – FJ $20,267.26 per annum
